Immutable versions
Every version carries file name, size and SHA-256 checksum. A new revision replaces nothing, it is added as a version – the history remains provably complete.
Every document carries immutable versions with SHA-256 checksums and a gapless timeline. Scanned paper documents are recognized right on the device and instantly full-text searchable – no cloud, no DMS subscription on the side, in every edition.
The DMS is not an add-on but part of the core: filing, workflow and accounting run on the same data base – and every change leaves a verifiable trace.
Every version carries file name, size and SHA-256 checksum. A new revision replaces nothing, it is added as a version – the history remains provably complete.
Draft, request review, approve or reject – with reason, actor and timestamp in the document timeline. The inbox shows what is waiting for a decision.
Documents attach to the invoice, customer or project instead of silting up in folder trees. Sales invoices archive themselves on creation – idempotently, with no clerical chores.
Image-only PDFs and photos are recognized on the device the moment they are filed – Apple Vision on the Mac, the Windows text recognition on Windows. No cloud service, no extra subscription; the recognized text is captured as a digitization on the document.
The recognized text feeds the full-text search across the entire archive. The April invoice turns up from one search term in seconds – not after half an hour of folder digging.
Existing scans without a text layer flag themselves as OCR candidates. "Recognize text (OCR)" in the document detail fetches the file, recognizes the text and captures it visibly in the timeline.
PDFs with a text layer are extracted by the server itself – deterministically and byte-true. On-device recognition only steps in where there would otherwise be no searchable text.
Document events live in the same hash chain as accounting and the till. A full scan verifies the chain gaplessly from the first entry – with a persisted verification watermark, a break can no longer age out of the verification window.
The operations cockpit shows the state of the integrity check as a traffic light: verified through, backlog, findings. Honest at the edge, too – never checked means "unknown", not "green".
From public to confidential: the sensitivity classification drives access profiles, so payslip and contract do not sit next to the price list.
Title, folder, tag and link suggestions from the content, PDF split and merge – suggestions to accept, no automation behind your back.
ewws manages retention inside the archive itself: every document carries its deadline, business records at least the ten years required by GeBüV. Nothing is removed before the deadline – after it, you decide, with proof.
The retention period is fixed when a document is created and does not shift when it is edited later. The operations cockpit shows the status as a traffic light – including personnel files, whose categories carry their own deadlines.
When a dispute looms, you freeze a file: while the legal hold is active, deletion is blocked – with reason, actor and timestamp in the document timeline.
After the deadline, ewws removes the content and keeps the evidence: a tombstone record documents what was removed, when and by whom. The audit chain stays complete.
Deletion requests run through four-eyes approval: requested in the archive, decided in the operations cockpit.
Full-text search, versioning, workflow and OCR are part of every ewws edition – no DocuWare, M-Files or ELO subscription on the side, no integration project, one data base. On-premises: your documents stay in-house.
The DMS is one of many modules on the same platform – from sales through warehouse to payroll.
